Preparing learner evidence for Internal Verification and External Authentication

Objective

Present each learner’s assessment evidence in a clear, complete and consistent folder structure so the Internal Verifier (IV) and External Authenticator (EA) can select a sample, review the evidence, trace how marks were awarded against the course learning outcomes, and confirm that assessment was fair and consistent.

Print / Save / Download A4 checklists

How to use the printable checklist

  1. Open the checklist for your course and use the PDF controls to download, save or print it on A4 paper.
  2. Enter the tutor, course, award code, term and course-end details.
  3. Tick each item as the folders are checked. Write N/A beside any item that does not apply and explain why on the Notes page.
  4. Complete the checklist, then sign and date the declaration.
  5. Use the faint horizontal ruled Notes sheet to record missing files, access problems, corrective actions or messages for the Admin team, IV or EA.
  6. Scan the signed checklist or take a clear, complete photograph of every page.
  7. Upload the signed copy to the Tutor Folder. Suggested filename: Tutor Submission Checklist - Course - Term - Tutor.pdf. </aside>

Step-by-step folder setup

1. Create the course folder

Use the agreed course-folder naming convention. Inside it, create exactly two main folders:

2. Create one folder for every learner

Inside Learner Submissions, create a separate folder for each registered learner. Use a consistent naming format and do not combine two learners’ evidence in one folder.
